Letter of offer template
One page that says what the job is, what it pays and when it starts. It is the document people actually read, which is why the award, the classification and the employment type belong on it rather than only in the contract behind it.
| Section | What the letter says |
|---|---|
| Date | 17 February 2027 |
| To | Ana Ruiz |
| The offer | We are pleased to offer you the position of barista at Harbourside Coffee. |
| Employment type | Part-time, 20 ordinary hours a week, with the agreed pattern of work set out in the contract attached. |
| Start date | Monday 2 March 2027, starting at 6:15am for your induction. |
| Award or agreement | Your employment is covered by the award named here, which we have read against the award’s own coverage clause. If you want to check it yourself, the Fair Work Ombudsman’s Find my award tool will confirm it. |
| Classification | You are classified at the level named here under that award, based on the duties in the job description attached. |
| Pay rate | Your ordinary hourly rate is set out here and is at least the minimum rate for your classification. Penalty rates, allowances and overtime are paid as the award sets them. |
| Hours | Tuesday, Wednesday and Thursday 6:30am to 1:00pm, and Friday 6:30am to 8:00am. |
| Probation | Three months, with a conversation at six weeks and again at the end. |
| Superannuation | Paid on your ordinary time earnings at the rate the superannuation guarantee requires. Tell us the fund you want it paid into, or we will use the stapled fund process. |
| What is attached | Your employment contract, the barista job description, the Fair Work Information Statement, and our workplace policies. |
| What to bring on your first day | Bank details, your tax file number declaration, your super fund details, and any ticket or certificate the role needs. |
| How to accept | Sign and return the contract by Friday 27 February 2027. The offer is open until then. |
| Who to ask | Reply to this email, or call the cafe and ask for the manager. |
What is in the file
- Template, blank, with each section down the side and room for the answer.
- Example, the same sheet filled in for Harbourside Coffee.
- How to use, with the steps and the mistakes below.
How to fill it in
- Fill in the award, classification and rate from the award itself, and keep a note of how you worked the classification out.
- Attach the contract and the job description rather than describing them, so the person has the detail in writing.
- Give the Fair Work Information Statement with the offer, and the Casual Employment Information Statement as well where the offer is casual.
- Set a date the offer is open until, and keep the signed acceptance with the employee’s records.
Common mistakes
- A rate on the letter that does not match the classification in the contract
- An offer that names a job title and no award, which leaves the rate unexplained
- No start time for the first day, so the person arrives at opening with nobody free to induct them

When a spreadsheet stops being enough
In Roster Flow the person is invited by email before their first day, so their first roster and their availability are already in place when they walk in.
Questions
What is on the letter of offer template?
15 sections down the side, running from date to who to ask. The example beside them is filled in for Harbourside Coffee: the job, the type, the rate, the start date and what to bring, on one page.
Does the letter of offer template work anything out for you?
No. It is a document with 15 sections to answer in your own words, not a calculator. Nothing on it is a formula.
Can I use the letter of offer template in Google Sheets?
Yes. Open letter-of-offer.xlsx from Google Drive, or use File, then Import, then Upload with letter-of-offer.csv. The document and its example come across either way.
Is the wording in the letter of offer template ready to use as it is?
The letter of offer template is a starting point for Harbourside Coffee or any business like it, to adapt rather than sign. The wording was checked against the official sources on 21 October 2026, it is not legal advice, and it has not been through a workplace relations professional.
