A time clock app that runs on any phone

One large button on the employee home screen, then breaks and clock out from the same place. Verification happens at the moment it matters.

What it does

  • One tap to start, from the phone the person already carries
  • Photo check stored against the time record
  • Distance from the venue checked against a radius you set
  • Breaks started and ended from the same screen, with a running total
  • Unrostered clock in for anyone called in, held for a manager to approve

Why it works this way

The decisions behind it, and what they are better than.

The distance is measured on our serverThe phone sends its location and our server works out the distance to the venue, so the check cannot be switched off on the phone. A location can still be faked with the right tools, which is why the photo check is there too.
Out of range is flagged, not refusedSomebody standing at the back door with poor signal still gets to start their shift. The clock in is marked for you to look at instead of leaving a person unable to work. If you would rather block it, that is a setting.
Called in at short notice still worksIf a person was never rostered, they can still clock in. It is marked unrostered and waits for a manager to approve, so covering a sick call does not mean a gap in the record.

What you get out of it

No paper, no shared tabletNothing to install, nothing at the till to break, nothing to type up on Monday.
Something to look at when hours are queriedA timestamp, the distance from the venue and a photo if you require one are kept with each clock in.
You can see the floor from homeWho is on, who is on a break and who has not turned up, in one look.

How it works

1Open and tapThe current or next shift fills the screen. No menus to hunt through.
2VerifyLocation is checked against the venue and a photo is taken if you ask for one.
3WorkBreaks start and end from the same screen. The running total is always visible, and clocking out sends the hours to the timesheet.

What it does not do

Said plainly here, so nobody finds out after they have set it up.

  • A location can still be faked with the right tools, which is why the photo check is there too
  • Staff clock in against a published shift, or clock in unrostered for a manager to approve
  • There is no wall terminal or biometric reader: it runs on the employee’s own phone

Questions about clock in and out

How do staff clock in with Roster Flow?

On their own phone, in the browser, with nothing to install. They tap once to start, start and end breaks from the same screen, and clock out there, and the times go straight to the timesheet.

How does the clock in location check work?

The phone sends its location and the server works out the distance to the venue against a radius you set. A clock in outside the radius is flagged for a manager rather than refused, unless you change the setting to block it.

Is there a photo check when staff clock in?

Only if the business turns it on. The photo is stored against the time record, and photos are deleted after the number of days the business sets.

Can somebody clock in if they were not rostered?

Yes. The clock in is marked unrostered and waits for a manager to approve it, so covering a sick call at short notice does not leave a gap in the record.
