Wage cost estimates while you build the roster

Set pay rates once and the roster prices itself. Weekend and public holiday loadings apply to the people they should, and to nobody else.

What it does

  • Hourly rates, or an annual salary broken down to an hourly figure
  • Saturday, Sunday and public holiday multipliers you set yourself
  • Choose person by person who loadings apply to
  • Rates imported from Xero, or typed in by hand
  • Cost per shift, per person, per day and per week on the roster

Why it works this way

The decisions behind it, and what they are better than.

Salaried people are costed tooAn annual salary is divided down to an hourly figure over an ordinary week, so a salaried supervisor on the roster shows a real cost instead of a blank. You can still see the week is 38 hours of somebody who is paid the same either way.
Loadings are a choice, not a rulePlenty of businesses pay a salaried manager the same on a Sunday as on a Tuesday. Rather than assume, there is a list of your team with a switch against each name, so the roster costs what you actually pay.
It stops short of interpreting the awardThese are your numbers, applied the way you set them. Roster Flow does not decide what an award entitles somebody to, because getting that wrong quietly is worse than not doing it at all.

What you get out of it

Price a week before you commit to itAdding a fifth person to Saturday night has a number attached before you publish.
Public holidays stop being a shockThe calendar knows the date is a holiday and the roster prices it at your holiday rate automatically.
One place to keep ratesImport them from payroll or enter them yourself, and they show on each person's profile for managers who need them.

How it works

1Set your ratesImport from Xero, or type them in. Hourly or annual, whichever the person is on.
2Set your loadingsSaturday, Sunday and public holiday multipliers, then tick who they apply to.
3Roster as normalEvery shift carries its cost, and the day and week totals add themselves up.

What it does not do

Said plainly here, so nobody finds out after they have set it up.

  • It does not interpret an award or decide what anybody is entitled to
  • It applies only the rates and the Saturday, Sunday and public holiday multipliers you enter. Overtime, allowances and superannuation are not worked out
  • The figure is an estimate. What people are paid is worked out in payroll

Questions about wage costs and loadings

How does Roster Flow estimate wage costs?

It prices each shift from its hours and the pay rate you set for that person, applies the Saturday, Sunday and public holiday multipliers you entered to the people you chose, and adds it up per shift, per person, per day and per week. It is an estimate for planning, not a pay calculation.

Does the cost estimate include award rates, overtime or superannuation?

No. It applies only the rates and multipliers you enter. Overtime, allowances and superannuation are not worked out, and it does not decide what an award entitles anybody to.

How are salaried staff costed on the roster?

An annual salary is divided down to an hourly figure over an ordinary week, so a salaried person on the roster shows a cost instead of a blank. You choose person by person whether the weekend and holiday loadings apply to them.

Can pay rates come from Xero?

Yes. Rates can be imported from Xero along with your employees, or typed in by hand, and they show on each person’s profile for the managers who need them.
