What is in the file
- Template, blank, with 14 rows under date, start, finish and the rest.
- Example, the same sheet filled in for Priya Venkatesan.
- How to use, with the steps and the mistakes below.
The hours column is a formula, not a number typed in. It takes the finish from the start, counts a shift that runs past midnight correctly, and takes off the unpaid break.
How to fill it in
- Type times as 9:00 and 17:00. The hours column fills itself in.
- Put unpaid breaks in minutes, so 30 for half an hour. Paid breaks are not taken off.
- A shift that finishes after midnight works: 22:00 to 02:30 counts as 4.5 hours.
- Leave the days not worked empty, then have the fortnight approved and signed.
Common mistakes
- Paid breaks entered in the break column and taken off the hours
- A fortnight that starts on a different day from the pay period
- Hours retyped from the sheet into payroll, with two digits swapped on the way
When a spreadsheet stops being enough
Roster Flow builds the timesheet from clock ins, puts the differences first, and sends the approved hours to Xero.
Questions
What is on the fortnightly timesheet template?
5 columns: date, start, finish, unpaid break (minutes), and 1 more. The blank sheet gives you 14 rows, and the example is the same grid filled in for Priya Venkatesan: fourteen days of start, finish and unpaid breaks that add themselves up.
Does the fortnightly timesheet template work out the hours?
Yes. Hours is a formula, not a number typed in: it takes the finish from the start, counts a shift that runs past midnight correctly, and takes the unpaid break off. Type a start and a finish and the hours follow.
Can I use the fortnightly timesheet template in Google Sheets?
Yes. Open fortnightly-timesheet.xlsx from Google Drive, or use File, then Import, then Upload with fortnightly-timesheet.csv. The grid and its example come across either way.
