SectionWhat it says
PositionEducator, toddler room
Reports toRoom leader, and the centre director
Employment typeFull time, 38 ordinary hours a week over five days
Where the work happensThe toddler room, the outdoor area and the sleep room
Hours and rosterOpening, middle and closing shifts on a rotation between 6:30am and 6:30pm, set a fortnight ahead so the room keeps its required staffing all day.
What the job involvesGreet families at the door and take the day’s information from them. Run the room routine: play, group time, meals, nappies and sleep. Supervise actively, indoors and outdoors, and keep the room’s required staffing in mind whenever somebody leaves it. Contribute to the program and record observations of the children you are keyed to. Keep the nappy, sleep and incident records the service uses. Prepare and serve meals to the service’s allergy procedures. Tidy and set the room for the next day, and pass on anything the closing educator needs to know.
A typical shiftOpening shift from 6:30: room set, sign in sheet out, families greeted as they arrive. Breakfast, then outdoor play from 8:30 with observations noted. Group time at 10:00, morning tea, nappies and sleep from 11:30. Break taken once the room is covered. Afternoon program from 14:30, afternoon tea, then handover to the closing educator at 15:30 with the day’s notes.
Skills and experienceHolds or is working towards the qualification the service requires for this role. Warm with children and unhurried with families. Notices what a child is trying to do and writes it down in a way the program can use.
Tickets and certificatesA working with children check for the state or territory, current first aid including anaphylaxis and asthma, and the qualification the service’s staffing requirements call for.
Physical demandsSitting on the floor, lifting toddlers, being outdoors, and noise for long stretches.
Pay and awardPaid at the rate in your letter of engagement. Long day care work is usually covered by the Children’s Services Award, and the award’s coverage clause decides whether it applies to this service. The classification, which follows the qualification and the role, decides the rate.
How the job is reviewedA conversation at three months about the room and the programming, then a formal review each year.
Review date of this descriptionReviewed each March, or when the room’s age group or hours change.

What is in the file

  • Template, blank, with each section down the side and room for the answer.
  • Example, the same sheet filled in for Willow Lane Early Learning.
  • How to use, with the steps and the mistakes below.

How to fill it in

  1. Set the shift rotation to your service’s opening hours, and say how breaks are covered.
  2. Name the qualification and the checks your service requires, with who renews them and when.
  3. Keep the wording about staffing consistent with what your approved service actually operates to.
  4. Give it to the educator with the room routine, so the two match.

Common mistakes

  • Breaks written into the roster without saying who covers the room while they are taken
  • A description that leaves out the records, which is a large part of the day
  • Setting a rate without matching the qualification to the classification in the award
This is example wording for a small business to adapt, not legal advice. Coverage, classification and the rate come from the award or agreement that applies. Staffing requirements, qualifications and checks come from the national law and your state or territory regulator.

When a spreadsheet stops being enough

Roster Flow lets a service set how many people a room needs at each part of the day, so a break taken at 11:30 is planned against the cover rather than hoped for.
