Free FIFO roster template

A fly in, fly out roster is not really a week, so this is not laid out as one. It is a swing register: one row per person, with the day they fly out, the first and last day they are on site, the day they fly home, and the day their next swing starts. It takes any swing, 8/6, 2/1, 14/7 or whatever your agreement sets.

What is in the file

  • Template, blank, with 18 rows under crew, name, role and the rest.
  • Example, the same sheet filled in for Mount Kestrel.
  • How to use, with the steps and the mistakes below.

How to fill it in

  1. Write the swing the way your site says it: 8/6 is eight days on and six off, 2/1 is two weeks on and one off.
  2. Put the travel days in the flies out and flies home columns even where they are the same day as the first and last day on site, because the two are not always the same.
  3. Count the days on inclusive of both the first and the last day, or the number will be one short every swing.
  4. Work the next swing out from the last day off, not from the last day on, so a changed flight does not quietly move everybody.
  5. Keep one row per person per swing rather than one per person, so the history is still there when somebody asks what they worked in March.

Common mistakes

  • Counting the days on from the day after arrival, which loses a day every swing
  • Two crews rostered off at the same time because the swings were set from different start dates
  • Treating a travel day as a day off when the agreement says it is paid
  • Forgetting that a swing running across a public holiday still has to be dealt with on its own terms
What a swing may be, how long it may run, and what travel days are worth are set by the enterprise agreement or award that covers the site, not by a template. Hours on a swing usually run well past an ordinary week, and whether that is overtime, averaged, or built into an annualised rate is a question for the agreement. Check yours before you set a roster from this sheet.

When a spreadsheet stops being enough

Roster Flow rosters the days on site and turns the clock ins into timesheets, so a swing that changes mid cycle is one edit rather than a new spreadsheet.

Questions

What is on the fifo roster template?

11 columns: crew, name, role, swing, and 7 more. The blank sheet gives you 18 rows, and the example is the same grid filled in for Mount Kestrel: a swing register: who flies out when, who is on site, and who is due back.

Does the fifo roster template calculate anything?

No. Its 11 columns are there to fill in, by hand or on screen, and none of them is a formula. It is a planning sheet for a swing register: who flies out when, who is on site, and who is due back

Can I use the fifo roster template in Google Sheets?

Yes. Open fifo-roster.xlsx from Google Drive, or use File, then Import, then Upload with fifo-roster.csv. The grid and its example come across either way.

Do I need an account to download the fifo roster template?

No. fifo-roster.xlsx, fifo-roster.csv and fifo-roster.pdf are plain links. There is no sign up, no email address asked for, and nothing to install.
