Roster change notice template

For a change to somebody’s regular roster or ordinary hours rather than a one-off swap: what is proposed, why, when it would start, and room for their response. Awards and agreements can require consultation first.

This example wording was checked against the official sources on 18 September 2026. It is a starting point, not legal advice, and it has not been through a workplace relations professional.

What is in the file

  • Template, blank, with each section down the side and room for the answer.
  • Example, the same sheet filled in for Harbour Street Books.
  • How to use, with the steps and the mistakes below.

How to fill it in

  1. Use it for a change to regular hours, not a one-off shift change.
  2. Check the award or agreement for consultation and notice requirements before giving it.
  3. Explain the reason and the likely effect honestly, and give real time to respond.
  4. Record the response and the outcome, and give the employee a copy.

Common mistakes

  • Giving the notice after the new roster is already published
  • A response window too short to be a real consultation
  • No written outcome, so nobody can say later what was agreed
Modern awards and enterprise agreements contain terms about consulting employees on changes to regular rosters or ordinary hours. This template is a starting point, not legal advice.

When a spreadsheet stops being enough

Roster Flow keeps every roster change in an audit trail with who made it and when, and publishing a week tells everybody rostered on it.
