Roles, permissions and staff records
Three roles cover a small business. Everyone has a profile with their contact details, their photo and their own record of hours and attendance.
What it does
- Owner, manager and employee, with different views
- Profiles with contact details, emergency contact, job type and start date
- Profile photos, shown on the roster
- Two step sign in and a list of signed in devices
- An audit trail on every change, and a deactivation that ends access and billing
Why it works this way
The decisions behind it, and what they are better than.
What you get out of it
How it works

What it does not do
Said plainly here, so nobody finds out after they have set it up.
- Three roles rather than a custom permissions matrix
- There is no single sign-on. Two step sign in protects each account

Questions about people, roles and records
What user roles does Roster Flow have?
Three: owner, manager and employee. Owners add billing, the payroll connection and the loadings, managers build rosters, approve hours and set pay rates, and employees see their own shifts, clock in and make requests.
Does Roster Flow keep an audit trail?
Yes. Shifts, clock times, corrections and approvals are stored with who made the change and when, and owners and managers can read the trail in Settings.
Does Roster Flow support single sign on?
No. There is no single sign on. Any account can turn on two step sign in with an authenticator app, and account settings lists every device the account is signed in on.
What happens when an employee leaves?
Deactivating them ends their access straight away and stops them counting towards your plan. The hours they worked stay on the record, because you may still need them.
