Leave requests and sick calls, on the roster

Staff ask for leave from their phone and you approve or decline it. Sick calls and no shows are recorded the moment they happen, while you still remember them.

What it does

  • Leave requests with dates and a reason, approved or declined by a manager
  • Part of a day, in hours, for the morning somebody is at the dentist
  • The shifts a request runs into named before you decide, with who is free to cover them
  • Annual, carers, unpaid and anything else you need to note
  • Sick calls and no shows recorded by a manager in a few taps
  • Approved leave shown on the roster, so you do not book over it
  • Everything kept against the person's record

Why it works this way

The decisions behind it, and what they are better than.

A request and a record are different thingsSomebody asking for the second week of January is waiting on you. Somebody who rang in sick this morning is not asking for anything. The two are handled separately so your queue only holds decisions.
It reaches the rosterApproved leave shows while you build next week, which is the moment it matters. Leave that lives in a separate calendar gets double booked.
No show is a fact, not an accusationIt is recorded as what happened, with a note if you want one. Roster Flow counts it and stops there.

What you get out of it

The group chat stops being the systemRequests arrive in one place with dates attached, instead of at eleven at night in a message thread.
You can see a pattern if there is oneSick calls and no shows sit on the same record as attendance, so a conversation can be had with facts rather than impressions.
Nobody is rostered on their approved leaveThe clash is visible while you are still building the week.

How it works

2You decideApprove or decline from the leave queue, on a phone or a laptop.
3The roster knowsApproved leave shows as you build the week, and the whole thing stays on their record.

What it does not do

Said plainly here, so nobody finds out after they have set it up.

  • Leave balances are read from payroll where it is connected, not worked out in Roster Flow
  • It does not decide whether leave is paid, or how it accrues
  • Sick calls and no shows are recorded by a manager, not by the employee

Questions about leave and sick calls

How do leave requests work in Roster Flow?

Staff ask from their phone with the dates, or part of a day in hours, and a reason. A manager approves or declines it, seeing the shifts it runs into and who is free to cover them, and approved leave shows on the roster.

Does Roster Flow track leave balances?

No. Where payroll is connected, balances are read from there rather than worked out in Roster Flow, and it does not decide whether leave is paid or how it accrues.

How are sick calls and no shows recorded?

A manager records them in a few taps when they happen. They sit on the person’s record beside their attendance, and they are kept apart from leave requests so the queue only holds decisions.

Can I roster somebody on approved leave?

The clash shows on the roster while you build the week, so you see it before you publish. People on approved leave are also left out of the cover suggestions.
