How to add Roster Flow to staff phones
Staff use Roster Flow in the browser on the phone they already carry, and can add it to the home screen so it opens from its own icon. This guide takes one person from the invite email to their first clock in, on an iPhone or an Android phone.
Before you start
Each person needs their own invite, sent to an email address they can open on their phone. Add them from Team as invite your team sets out. There is nothing to download from an app store: the staff screens run in the phone’s browser, and adding them to the home screen gives them an icon and a full screen of their own.
- An iPhone with Safari, or an Android phone with Chrome.
- The invite email, opened on the phone itself rather than on a computer.
- A signal or wifi for the first sign in.
Step 1: Set a password from the invite
- Open the invite on the phoneThe email is titled “{Your business} invited you to Roster Flow”. Press Set your password.
- Choose a passwordAt least ten characters with one number or symbol, then press Create account.
- Arrive on HomeThe screens along the bottom are Home, Roster, Timesheets, Time off and More.
An invite link lasts 14 days and works once. If it has run out, resend it from the person’s page on Team, and the new email replaces the old one.
Step 2 on an iPhone: add it from Safari
- Open Roster Flow in SafariIf the invite opened inside another app, open the sign in page in Safari and sign in there.
- Tap the Page Menu button, then ShareIf your Safari tabs are set to Bottom or Top, the Share button is shown straight away, so tap that instead.
- Choose Add to Home ScreenScroll down the list of options. If it is not there, scroll to the bottom, tap Edit Actions and add it.
- Turn on Open as Web App, then tap AddThat is what makes Roster Flow open like an app from its icon.
- Open it from the iconThe Roster Flow icon on the home screen opens straight to Home, without the browser’s address bar around it.
Roster Flow shows the same steps on Home, in a box headed Add Roster Flow to your phone. On an iPhone, Got it hides the box once the steps are done. Step by step, including an iPad: install Roster Flow on an iPhone or iPad.
Step 2 on Android: install it from Chrome
- Open Roster Flow in Chrome and sign inHome shows the box headed Add Roster Flow to your phone.
- Press Add to home screenThe button appears in that box when Chrome is ready to install the app. Confirm in the message Chrome shows.
- No button? Use Chrome’s menuTap More on the right of the address bar, then Install and create shortcut, then Install.
- Open it from the iconIt opens straight to Home, full screen.
Not now hides the box for 30 days, so somebody who is not ready is not asked again every time they open Home. Step by step: install Roster Flow on an Android phone.
Step 3: The first clock in
At the start of a shift, open Roster Flow and press Clock in on Home. What happens next depends on how the venue is set up.
- Location. If the venue checks where people clock in, the phone asks to share its location. Allow it, or the clock in cannot show where it happened.
- Photo. If the venue asks for a photo, the camera opens on the clock in screen. Allow the camera when the phone asks.
- No signal. A clock in or clock out made with no signal is kept on the phone with the time it happened, and sent when the signal returns or the app is opened again. Breaks are not kept that way, so start and end a break with a signal.
If location or the camera was refused by mistake, allow it again in the phone’s settings for the browser, Safari on an iPhone or Chrome on Android, then open Roster Flow again.
Keeping it working
- Updates arrive on their own. When a message says a new version of Roster Flow is ready, press the button beside it to load the new version.
- Passwords can be changed on the phone: More, then Security, then Change password.
- To sign out, open More and press Sign out at the bottom of the screen.
- A phone that changes hands should be signed out first, so the next person signs in with their own invite and sees only their own shifts.
What managers see
Each clock in becomes hours on the timesheet, and the hours that disagree with the roster are sorted to the top for review and approval. From the same app, staff see their roster as soon as it is published, send their availability and ask for time off. If the week itself is the hard part, how to make a staff roster works through one from the start.
Questions about Roster Flow on staff phones
Do staff have to download Roster Flow from an app store?
No. Staff use Roster Flow in the browser on their own phone, and can add it to the home screen so it opens from its own icon, full screen. The steps are the same Share and Add to Home Screen, or Chrome install, that any website offers.
Why is Add to Home Screen missing on an iPhone?
The steps are for Safari. If the invite opened inside another app, such as an email app with its own browser, open the Roster Flow sign in page in Safari, sign in, then tap the Page Menu button and Share. If Add to Home Screen is still not in the list, scroll to the bottom, tap Edit Actions and add it.
What if the Add to home screen button does not appear on Android?
Chrome shows that button only when it is ready to install the app. Instead, tap More on the right of Chrome’s address bar, then Install and create shortcut, then Install.
Can staff clock in on their phone without a signal?
Clocking in and out, yes. The tap is kept on the phone with the time it happened and sent when the signal returns or the app is opened again. Breaks are not kept that way, so they need a signal.
Does deleting the Roster Flow icon remove somebody’s account?
No. The icon only opens Roster Flow. Their account, shifts and hours stay as they are, and they can sign in again in the browser. Access is removed by deactivating the person from Team.
