What is in the file

  • Template, blank, with 7 rows under day, in, break start and the rest.
  • Example, the same sheet filled in for Callum Byrne.
  • How to use, with the steps and the mistakes below.

The hours column is a formula, not a number typed in. It takes the finish from the start, counts a shift that runs past midnight correctly, and takes off the unpaid break.

How to fill it in

  1. Write the time as you arrive, not at the end of the day.
  2. Record the break start and end when the break is taken.
  3. Leave the break columns empty on a day with no unpaid break.
  4. Hand the card in at the end of the week for the manager to check and sign.

Common mistakes

  • Times rounded to the half hour because they were written down later
  • A break taken and never written on the card
  • A card signed without anybody comparing it with the roster
Australian employers must keep time and wages records. What has to be kept, and for how long, is set out by the Fair Work Ombudsman.

When a spreadsheet stops being enough

Roster Flow is the time card on the phone: the clock in, the break and the clock out are recorded when they happen, and a manager approves the week.

Questions

What is on the employee time card template?

6 columns: day, in, break start, break end, and 2 more. The blank sheet gives you 7 rows, and the example is the same grid filled in for Callum Byrne: a weekly card with in, out and break times and a manager sign-off.

Does the employee time card template work out the hours?

Yes. Hours is a formula, not a number typed in: it takes the finish from the start, counts a shift that runs past midnight correctly, and takes the unpaid break off. Type a start and a finish and the hours follow.

Can I use the employee time card template in Google Sheets?

Yes. Open employee-time-card.xlsx from Google Drive, or use File, then Import, then Upload with employee-time-card.csv. The grid and its example come across either way.

Do I need an account to download the employee time card template?

No. employee-time-card.xlsx, employee-time-card.csv and employee-time-card.pdf are plain links. There is no sign up, no email address asked for, and nothing to install.
